To prospect local businesses well, you contact restaurants, shops, salons and tradespeople in one area directly, by phone, email or social media, with an offer tied to how they actually run. The method that works has five steps: pick one trade and one area, build a reliable contact list, write a message about them, reach out on the right channel at the right time, and follow up consistently. This guide walks through each step with concrete examples for France and Belgium.

Why local business prospecting needs its own playbook

A shop owner is not a corporate buyer. There is no purchasing department, no inbox checked all day and no time for a 45-minute demo. They run the till, the suppliers, the staff and the customers, often single-handed.

That is why classic enterprise outreach (LinkedIn sequences, decision-makers mapped from an org chart) works poorly here. What works is a short message about their real business, delivered when they actually have a minute.

The upside is a huge market that few people approach intelligently. Our database currently lists 944,117 businesses across France and Belgium in 31,578 towns and cities, and 248,955 of them have no website at all. That is a lot of unmet needs.

Profile What they care about Channel that works best
Restaurant owner Full tables, saving time Phone between services, Instagram
Hair or beauty salon A full booking diary, image Instagram, phone mid-morning
Tradesperson (plumber, electrician) Profitable jobs, less admin Phone early morning or early evening, text
Independent retailer Footfall, basket size Walk-in visit, phone, email
Hotel Occupancy, reviews Email, phone to reception

Step 1: pick one trade and one area

The classic mistake is targeting "businesses in Lyon". A message written for everyone speaks to nobody. Choose one trade (or two closely related ones) and an area you can realistically cover.

How to choose your segment

  • Your track record: if you already have three bakery clients, start with bakeries. Your references will do half the selling.
  • Volume: you need enough businesses to keep going for several weeks. A rare trade in a small town runs out in two days.
  • A visible need: a salon with no website, a poorly rated restaurant or a contractor with no Instagram gives you a concrete hook.

Example: Lyon has 360 hair salons in our database, 27% of them without a website and 20% with a known Instagram account. Figures like these tell you right away which channel to use and which angle to take.

You can browse these volumes trade by trade from the list of all trades, or by city, for example restaurants in Paris or plumbers in Lyon.

Segments that respond best

Some trades are simply easier to reach. Builders and plumbers almost always pick up their mobile, because every call might be a job. Beauty salons answer Instagram messages. Restaurants are heavily solicited, so you need a sharp angle and the right time slot. For more detail, see our articles on contractor leads in France and on building a restaurant email list.

Step 2: build a reliable contact list

Once the segment is set, you need for each business: name, address, phone, email, website, Instagram handle and, ideally, its rating and number of reviews. There are three ways to get there.

Method Time for 200 contacts Cost Freshness
Manual research (maps, directories, websites) 10 to 15 hours Free (your time) Good if you check
Bought file from a list broker Instant Varies, usually per file Often dated
Searchable database, pay per contact A few minutes Low Cross-checked and cleaned

Manual research is fine for 20 or 30 hand-picked targets. Beyond that, it becomes a hidden cost. Our guide on how to buy a B2B lead list in France explains how to compare offers and check quality before paying. If all you have is a company name, here is how to find a business email address.

Filters that save you hours

Filter before you contact, not after. The filters that matter for local outreach:

  • Has phone / has email: depending on the channel you plan to use.
  • No website: ideal for web agencies and freelance designers (see our study of businesses without a website).
  • Minimum rating and review count: a 4.5-star place with 200 reviews is established and has budget; a 3.2-star place has an image problem you might be able to fix.
  • Has Instagram: for anything social-media related.

For instance, a search for Paris bakeries without a website gives you a ready-to-work list you can browse for free before spending anything.

Step 3: write a message about them, not about you

The owner decides in seconds whether your message deserves attention. They need to recognise their own situation in it.

A four-part structure

  1. A real observation: "I noticed Boulangerie Vercheval has 312 reviews at 4.7 but no website to order from."
  2. What it means for them: "Customers looking for a Christmas log cake in December can't pre-order online."
  3. Your offer in one sentence: "I build simple ordering pages for bakeries, live within a week."
  4. A light ask: "Can I show you an example in two minutes on Thursday?"

Skip the company introduction, the list of services and the attachments. If you are writing in French, keep it formal ("vous") and short. Ready-made templates are in our cold email templates and our cold calling scripts.

One concrete observation about the business beats three paragraphs about your offer. If you can't find anything specific to say, that contact isn't ready yet.

Personalising without spending the day on it

Hand-writing 50 messages takes time. A practical approach: prepare three or four variants by signal (no website, low rating, no Instagram, very well rated), then add one business-specific sentence. Prospya's built-in AI writer drafts a cold email, an Instagram DM or a call script from what you sell and the real facts about each business, up to 30 per day.

Step 4: reach out on the right channel at the right time

A great message sent at the wrong moment gets ignored. Every trade has its windows.

Trade Good time slots Avoid
Restaurant 10:00-11:30, 15:00-17:00 Lunch and dinner service
Bakery 13:30-16:00 Early morning, school pick-up
Hair salon Tuesday-Wednesday mid-morning Saturday
Tradesperson 7:30-8:30, 17:30-19:00 Daytime (on site)
Hotel 10:00-12:00, 14:00-16:00 Evening check-ins

Phone, email, Instagram or a visit

  • Phone: the most direct route for tradespeople and small shops. The goal is a meeting or permission to send an example, not a sale on the call.
  • Email: leaves a written trace, carries a visual example, and suits hotels and more structured businesses. Keep it under 120 words.
  • Instagram: very effective for image-driven trades (beauty, food, boutiques). A short message that refers to a recent post.
  • Walk-in visit: unbeatable in a dense neighbourhood, during quiet hours, kept brief.

Combining two channels clearly improves results: an email with an example, then a call two days later ("I sent you a mock-up on Tuesday, did you get a chance to look?").

A note for non-French speakers: most French and Belgian (Wallonia, Brussels) shop owners expect French. If you sell in English, a short French email with an offer to continue in English converts far better than English only.

Step 5: follow up and track every contact

Most meetings come from the second or third touch. Without written tracking, you will forget who to call back, or chase the same person twice.

A follow-up rhythm that stays polite

  • Day 0: first contact (call or email).
  • Day 3: follow-up on a different channel.
  • Day 10: last follow-up, with something new (an example, a figure, a case study).
  • Then: pause for 2 to 3 months, unless they asked not to be contacted again.

For each contact, record the date, channel, outcome (reached, no answer, voicemail, wrong number), next action and its date. A spreadsheet is fine to start; our sales prospecting tracker article gives you a ready-made structure. Prospya's built-in CRM does it for you: stages (to contact, contacted, quote sent, client), one-click call logging, and an automatic call-back on the next working day when nobody answers.

Metrics worth watching

Track four rates: reach, reply, meeting and close. Low reach: change your time slots. Few replies: change your message. Meetings that don't close: rework the offer or the price, not the prospecting.

Staying compliant: GDPR and good practice

Prospecting businesses is allowed, within limits. In France, B2B cold email is permitted without prior consent when the message relates to the recipient's profession, you identify yourself clearly and every email includes a simple, free unsubscribe link. According to the CNIL, generic addresses (contact@, info@) are not personal data; named addresses are, so GDPR applies to them.

On the phone, France's Bloctel register protects consumers, not businesses, so calling a shop's number with a professional offer is allowed. Always honour a request to stop and keep a do-not-contact list. The full picture is in our guide to GDPR and B2B cold email in France, and Belgian specifics are covered in our Belgium business database article.

A worked example: a small web agency in Nantes

Take "Studio Ardoise", a small web agency in Nantes aiming for five new clients per quarter.

  1. Segment: restaurants and bakeries in Nantes with no website and a rating above 4.
  2. List: a filtered search, 150 businesses with a phone number exported.
  3. Message: "Your place has excellent reviews but no website showing your menu and opening hours. Can I show you a mock-up made for you?"
  4. Channel: a call between 15:00 and 17:00, then an email with a screenshot of the mock-up.
  5. Tracking: follow-ups on day 3 and day 10, every contact logged with its status.

Out of 150 businesses, reaching about half, getting around ten meetings and signing a few clients is realistic. Agencies wanting a dedicated method can read our guide on how to find clients for a web design agency.

FAQ

What is the best channel to prospect local businesses?

The phone remains the most effective channel for tradespeople and small shops because you get an answer immediately. Instagram works very well for image-driven trades such as beauty, restaurants and fashion. Email is a useful complement for sending a visual example or leaving a written trace. The best results usually come from combining two channels over a few days rather than relying on one.

How many businesses do I need to contact to win one client?

It depends heavily on your offer, price and segment. As a rough order of magnitude, many people find they need to contact somewhere between 30 and 80 businesses to win one client on an offer worth a few hundred euros. Track your own reach, meeting and close rates from the first weeks and adjust your volume to your target.

Yes. In France, B2B cold email is allowed without prior consent when the message relates to the recipient's profession, you clearly identify yourself and every email includes a simple, free way to unsubscribe. If the address is a named personal one, GDPR also applies: you must inform the person, honour objections and delete their data on request.

Where can I find contact details for businesses in a given city?

You can research them yourself on online maps, directories and the businesses' own websites, which takes time. A database you can filter by trade and city gives you phone, email, website and Instagram in minutes. On Prospya, searching is free, each unlocked business costs one credit, and you get 25 free credits when you sign up, no card needed.

Do I need to speak French to prospect businesses in France?

It helps a lot. Most shop owners in France and French-speaking Belgium expect to be addressed in French, and a short, polite French message gets far more replies than an English one. If your French is limited, write a brief French email and offer to continue in English, or partner with a French speaker for phone calls.
